What do these positions do?

Each member of a nonprofit board has three legal duties, collectively known as their “fiduciary” duty. A fiduciary is a person who holds something in trust for another. A PTA board is charged with holding the well-being of the PTA in trust for its members. The three legal duties are:

Duty of Care: to pay attention to the organization’s activities and operations and to comply with applicable federal, state, and local laws;

Duty of Loyalty: to put the interests of the organization before personal and professional interests;

Duty of Obedience: to remain the guardians of the mission and ensure funds are spent on the mission.Each position comes with a different set or responsibilities.

Duties of the Excutive Board

Duties of the president
The president is the presiding officer and the official spokesperson of a local PTA or council. The president presides at all meetings and plans the meeting agenda with the PTA secretary, utilizing input from others. The president must remain impartial when serving as the presiding officer at meetings.
With approval of the executive committee, the president makes one-year appointments to positions and committees as specified in the local PTA or council standing rules. The president should make sure that officers’ names and contact information are entered into WSPTA’s membership database or sent to the WSPTA office when officers are elected in the spring. Throughout the year, updates should be entered or sent to the WSPTA office whenever there is a change in officer positions or contact information. Changes in elected officers also require that the PTA update its officer information with the Corporations Division of the Washington Secretary of State.

The president delegates responsibility and develops leaders by empowering others and acknowledging their efforts. They should communicate regularly with officers and chairs and be available to members. The president ensures that all officers, chairs, and committee members are current PTA members. The president serves as an ex officio member of all committees except the nominating committee. (Ex officio means “by virtue of one’s status.”) The president should participate in planning and conducting an orientation for the board of directors.

Duties of the Vice President
The vice president’s duties are to preside at meetings in the absence of the president and to act as assistant to the president.

 

Duties of the Secretary
The secretary takes minutes, may plan the meeting agendas, issues notices of meetings, handles correspondence, and keeps a roster of members and a record of all committees. The secretary may also have additional duties as directed by the local PTA’s standing rules or by the president.

 

Duties and responsibilities of the Treasurer
The members elect the treasurer to manage the funds of the PTA on behalf of the membership and the board of directors. The funds, books, and record-keeping materials are the property of the PTA. The treasurer serves as an active participant on the board of directors and executive committee and attends all meetings of each body. The treasurer serves as chair of the budget committee and presents the budget to the board and membership.
The specific duties and responsibilities of a treasurer:

  Attend council, region, and/or state trainings, webinars, workshops, and convention.
  Assure all PTA funds are promptly deposited into PTA bank accounts.
  Reconcile the PTA’s bank accounts and financial records.
  Maintain accurate and detailed accounting of all funds received and disbursed.
  Pay all authorized financial obligations of the PTA, including membership dues and fees owed to a council (if any), in a timely manner.
  Submit written monthly financial report at each membership or board meeting.
  Send written reports to the board during months when no meetings are held.
  Submit an annual report at the end of the fiscal year (June 30).
  Chair the budget committee to develop and present the budget for the following year.
  Preserve all receipts, invoices, bank statements, cancelled checks, and other financial
records as specified in the records retention timetable.
  Submit the current year’s records to a financial review committee.
  Ensure that appropriate and adequate insurance (liability insurance at a minimum) is
purchased for the PTA.
  Prepare and file the appropriate IRS informational forms (990-N, 990-EZ or 990 and 1099-
NEC), state sales tax forms, annual incorporation renewal report, Charitable Solicitations report, business license, and any city/county licenses in a timely manner.

Duties of the Board

Duties of the Art Docent Chair

The Art Docent Program is a PTA funded art enrichment for all students. Art Docents are volunteers or teachers who teach art lessons to introduce students to the Elements of Art through a wide variety of art mediums, styles, and artists.  The Art Docent Chair works with our volunteers and teachers to coordinate art lessons in our school. The Art Docent Chair responsibilities include: organizing and restocking materials, connecting teachers and volunteers, prepping and putting on the Art Show at the District Stem Fair.

 

Duties of the Communications Chair

The Communications Chair is responsible for putting out the social media post, The Norse News our PTA's newsletter, and helps with flyers and posters.

 

Duties of the Watch D.O.G.S. Chair

The Watch D.O.G.S. chair is responsible for recruitment, training and scheduling for the Watch D.O.G.S. program.

 

Duties of the Membership Chair

The Membership Chair recruits members and updates the Memberplanet website. They keep an updated list of all members. 

 

Duties of the Legislative Chair

The Legislative Chair represents our PTA at the yearly Legislative conference and advocates for our school.

Other Chair Positions

Fantastic Friday Chair 

The Fantastic Friday Chair host a fun activity monthly at the long recess once a month.

 

Financial Review Chairs

These positions do a bi-annual review of the Treasurers books.

 

Nominating Chairs

These positions supervise the nominations and the elections of the Executive Board.

 

Service Activities Chair

 

Fundraising Chair

The Fundraising Chair schedules the Family Nights out and seeks donations from local companies and organizations. 

 

Safety Committee Chair

The Safety Committee Chair works with the District and school to improve school security and safety.
